Aikentra is a product by Japrinix Labs. This policy explains how information is handled when you use aikentra.com, the Aikentra web application and the Aikentra Android application. It describes the current Version 1 service, including use in India and the United States.
Your privacy at a glance
Aikentra processes account and work information to provide the service. Profile photos are optional. We do not sell your personal data or use advertising trackers. You can ask for a copy of your information, corrections or account deletion.

Information we handle
- Account and preferences. Your name, email address, account identifier, verification and account status, optional profile photo, time zone, date format and notification preferences.
- Authentication and security. Password hashes, protected multi-factor authentication information, recovery credentials, verification or recovery challenges, session and device-client labels, session expiry and revocation records. Passwords and one-time codes are processed to authenticate you; passwords are not stored as plain text.
- Work and collaboration. Spaces, Workspaces, memberships, invitations, roles and access permissions; tasks, projects, goals, notes, meetings, daily plans and reports; and the titles, descriptions, participants, ownership, dates, progress and relationships you enter.
- Activity and notifications. Work changes, security and administration audit events, notification categories and read status, and transactional email delivery information. Audit records can link an action to an account, Space, Workspace or work item.
- Subscription information. Space subscription details, configured plans, pricing and entitlements, and active user counts. The current V1 application does not provide payment-card entry or process card payments.
- Support and technical information. Information you choose to include in support correspondence; request identifiers, request outcomes and timing used to operate and troubleshoot the service. Network addresses are processed for connection security and rate limiting; hosting services also process the connection information needed to serve requests.
Please include only information you are entitled to use in a shared Workspace, and avoid putting passwords or other secrets into work descriptions or support messages.
How information is used
We use information to create and secure accounts, display and synchronize your work, apply Space and Workspace permissions, support collaboration, remember preferences, deliver notifications and transactional emails, administer subscriptions, respond to support requests, and investigate errors or misuse. Time zone and date preferences control how dates and times are displayed; an entry can also retain its scheduling time zone.
Optional work and membership notifications can be changed in Account settings. Essential security notices, verification and recovery messages remain part of protecting and operating your account.
Profile photos
A profile photo is optional. The web and Android apps process the image you select on your device. In the updated photo editor, you can reposition and zoom the image within a circular avatar preview. Use photo applies the crop to your profile draft; it does not upload or save it to your account. Cancel leaves your saved photo unchanged.
The prepared image is uploaded only when you explicitly save your profile. The server validates and resizes it, removes embedded image metadata, and stores a small processed copy linked to your account. The original selected image is not retained by the service. Your photo is used as your account avatar, not for facial recognition, advertising or biometric verification. You can replace or remove it in Profile and save the change.
Android device access
Android uses the system image picker for the selected image; it does not require access to your whole photo library. The app does not request location, contacts, microphone or camera permissions. If you enable biometric unlock, Android performs the biometric check; Aikentra does not receive or store your fingerprint or face template. The device PIN is a local unlock control, separate from your account password.
Sharing and service providers
Work you share is available to people authorized within its Space and Workspace. Owners and administrators manage access and can view administration information allowed by their roles. Your name, email and membership information may be visible to people managing or participating in your Space. Review the visibility of a work item before entering personal information; joining a shared Space is different from keeping work private.
Hosting and email services process information needed to run Aikentra and deliver messages. Aikentra currently uses Hostinger for hosting and transactional email. A support email also passes through your chosen email provider. Authorized service operators may access information when necessary to maintain the service, investigate a security issue or handle your request. Information may be disclosed where required by applicable law.
The Aikentra service API processes and stores account and work records for the web and Android apps; it is part of Aikentra, not an unrelated third-party integration. Hosting backups support service recovery. Android, app distribution services and your device manufacturer may separately process platform information under their own privacy terms.
The current V1 applications do not contain advertising SDKs or third-party analytics trackers. Aikentra does not sell your personal data. AI features are disabled in V1: work content is not sent to an AI provider for assistance or model training by those features. External email and calendar connectors are also unavailable in V1 and do not read or synchronize your mailbox or calendar. Future features will require updated disclosures before their data handling changes take effect.
Cookies and device storage
The web application uses a session cookie to keep you signed in. Browser storage remembers preferences such as appearance, sidebar layout and the selected Space. Clearing this storage may reset preferences or require sign-in again; it does not delete server records. The public policy pages do not require sign-in.
Android stores protected sign-in credentials and local unlock information using Android Keystore-backed protection, together with device preferences. Work records are loaded into app memory for use. Signing out or uninstalling the app is not a request to delete your Aikentra account or server-side information.
Tracking and advertising
The current V1 service does not use third-party trackers to follow your activity across other websites for advertising. Browser Do Not Track signals do not change how the service operates. The cookies and storage described above support sign-in and your preferences.
Security
Aikentra uses encrypted network connections, password hashing, access checks and session revocation controls. Multi-factor authentication is required for privileged roles. Android protects stored credentials through the platform Keystore. Encryption in transit protects connections to the service; it does not mean that work content is end-to-end encrypted. The service processes that content to provide your workspace. These measures reduce risk, but no service can guarantee absolute security. Keep your credentials private and contact support if you suspect unauthorized access.
Retention and deletion
Account and work information is retained to provide the service. Archiving a work item, Space or Workspace hides it from normal active views; archiving does not immediately erase it. Signing out, suspending an account or removing Space membership also does not erase account information or work records.
Administrators can configure retention rules for eligible historical records, including audit events, work activity, expired sessions, delivered email, archived work and read notifications. These rules have no single default deletion period and do not by themselves delete accounts. Email message bodies are removed from the delivery queue after delivery or cancellation; delivery records can remain.
You can request deletion of your account and associated personal data. Requests are handled manually after identity verification. Any information that must be retained for a specific legal, security or fraud-prevention reason, and its applicable retention basis, will be explained when the request is handled. Information belonging to other people in a shared Space is reviewed separately so your request does not erase their accounts or unrelated work. Contact support for the scope of a request involving an organization-managed Space.
Deleting active records does not mean every recovery copy disappears immediately. Provider-managed backups can retain earlier data until they expire under the hosting provider's retention arrangements. Copies you export or share outside Aikentra are controlled by you or their recipients.
Your choices and requests
You can edit your display name, replace or remove a profile photo, change preferences, manage active sessions and use the work controls available to your role. Contact support@aikentra.com to request access, correction or deletion, or to raise a privacy concern. We may need information sufficient to verify a request, but will not ask you to email your password, recovery code or one-time code.
Users in India and the United States can use this same contact to raise a grievance about personal data. Depending on your location and the law that applies, you may have rights to access or obtain a copy of your information, correct it, request deletion, withdraw consent where processing relies on consent, or appeal a decision on a privacy request. Identify the right you wish to exercise and your country or state so the request can be assessed under the applicable rules. This does not limit any right to complain to a competent authority or require you to waive your rights.
Children's privacy
Aikentra is a general productivity and collaboration service, not a service directed to children. We do not knowingly seek personal information from children. A parent or guardian who believes a child has provided personal information can contact us to request a review and appropriate removal.
International use
Information may be processed where Aikentra and its hosting and email providers operate systems, including outside your country. We do not promise that all processing or storage stays within a particular country. Contact us if you need information about processing locations for your organization.
Changes to this policy
Changes will be published on this page with an updated date. If a change materially changes how personal data is handled, we will provide an appropriate notice before applying it.
